What information we will ask for
In the course of our work together on bespoke items and made to order garments ordered through our online shop we will request personal information from you which may include-
Measurements
Name and address
Email address
Phone number
In the event of a remote toile fitting or for another reason relating to a bespoke order we may also request you to send photographs showing the fit of an item.
We will only ever ask you for information that is essential for us processing your order and ensuring that it reaches you safely.
Our payments are processed through Stripe which does not reveal your card details to us, or by bank transfer where we do not have access to your card details. We do not store any payment information for our clients.
Who has access to your information
The only people not directly employed at Orchid who will have access to your payment records (orders from our online shop, invoices and Stripe/ bank transfer records) or subscription to our newsletter are our accountant and website support team. Both businesses understand the importance we place on our customer’s privacy and have agreed that any contact they have with your information will be strictly based on carrying out their essential duties and that they may not keep any records themselves.
Any personal information shared during the course of an order is private and confidential and will not be shared with any third parties for purposes such as marketing or advertising or used for any reason other than the creation of your order, or offering advice.
How we store your information
When your bespoke order is complete it is our habit to keep your garment pattern and a hard copy (paper) of your details for up to 2 years as many clients return within this period for another garment and this information is useful. We will contact you at the end of the 2 years to ask if you would like us to store your pattern for a defined period of time (typially 1-2 years) or destroy it securely. If we do not receive a reply within a week we will dispose of your pattern. You can contact us (beth@orchidcorsetry.co.uk) at any other time to request this with immediate effect. Stored patterns are kept in a locked filing cabinet to ensure your privacy.
We also have a digital copy of your order checklist for bespoke orders which are provided to you at the start of our contract to confirm the details of your commission. This is saved in a password protected area for 3 years unless you indicate that you wish it to be deleted or stored for longer.
Clients placing an order from our online shop do not have personal information such as measurements stored unless a custom pattern has been made. However we store a digital copy of your order receipt for 7 years for tax purposes (details below). This will never be used to market products to you or be shared with a third party. All receipts are stored in a password protected folder. and on our website, which is password protected.
Clients who have chosen to join our mailing list (this is a strictly opt-in system) have their email addresses stored on our website and nowhere else. Access to these is password protected and we will never share or sell your contact information to a third party. By subscribing to our mailing list you agree to let us contact you from time to time with news of offers, sales and new designs. You will remain on our mailing list until such a time as you indicate that you no longer wish to be contacted by us. You can do this by clicking “unsubscribe” at the bottom of our newsletter or contacting us at any time at beth@orchidcorsetry.co.uk. At this point your email address will be permanently deleted. Our system also detects when a subscriber is “inactive” or doesn’t open newsletters for a period of time, and removes them from our mailing list to avoid sending unwanted emails.
It is not our custom to delete email correspondence with our customers after a set period of time, but you can request this at any time. Our email is password protected.
Hard copies of data will be shredded at the indicated time, and digital information permanently deleted.
Requesting deletion or access to the data we have stored for you
If you decide that you no longer wish us to keep some or all of the data we have from your order/s then simply email beth@orchidcorsetry.co.uk and tell us what information you would like securely deleted. Please note that for tax purposes we will have to store your invoices and records of your payments for 5 years after the end of the tax year they relate to. For example, a payment made in May 2017 will be stored until the end of January 2024.
You can also request a copy of any and all information stored about you. Again, simply email beth@orchidcorsetry.co.uk. This service is free and we will meet your request within 1 calendar month.
